Kudos

Q: What are Kudos?

Kudos cards are a great way to show your appreciation for your fellow colleagues when they have gone above and beyond. Recipients are entered into a monthly drawing for a trip to the University Bookstore for some awesome swag.

Q: How do I file a confidential concern or complaint with the Office of Human Resources?

To file a confidential concern or complaint, please call (315) 792-3276 and schedule an appointment with the person with whom you would like to speak, or simply email hr@utica.edu and ask for a return call about a confidential concern. If you are comfortable leaving a brief explanation of the topic, it may help us to better direct your call. Otherwise, please know that all members of the HR team are able to field confidential concerns and get them to the appropriate HR resources.

Time Off

Q: How do I find out how much leave time (vacation, sick, flex time, etc.) do I have?

Log into bannerweb.utica.edu and select ‘Leave Balances’ under the ‘Employee’ tab.

Q: Where can I find a calendar for University holidays?

Q: How do I change my TIAA contributions?

Log onto your account at TIAA.org/utica

When can I make changes to my health, dental, vision, or other benefits?

Utica University’s benefit information can be found by visiting www.utica.edu/benefits

Utica’s benefit plan year runs from January 1 through December 31. Outside of new hire eligibility and the annual open enrollment period, you may only change coverage with documentation of a qualifying life event. Employees must contact HR within 30 days of such an event.

Examples of qualifying events are:

  • Marriage, divorce, legal separation, or annulment
  • Birth, adoption, or placement for adoption of an eligible child
  • Involuntary loss of coverage
  • Gain or loss of other coverage for your child
  • Death of a spouse or dependent
  • Loss of dependent status
  • Change in place of residence that affects eligibility
  • Becoming eligible for Medicare or loss or gain of Medicaid during the year
  • Receiving a Qualified Medical Child Support Order (QMCSO)
Q: Do you have openings for Adjunct Instructors?

We accept applications for adjunct instructors on a rolling basis to teach in all disciplines to support programmatic and enrollment growth. If you hold the minimum of a master’s degree, you are welcome to submit your application for consideration.

Q: Where do I go to apply for a position in food service or maintenance?

Q: How do I find and accept my teaching contract?

Instructors will receive an email notification from BannerWeb when their contract(s) are ready to be approved. Directions on how to approve your contract can be found here: How To Accept a Contract in BannerWeb

Q: Where is my adjunct teaching contract?

Teaching contracts are typically released at least a week before the start of a course. Several factors may affect this timeline including but not limited to…

  • If you are teaching more than one course throughout the semester:
    Contracts are released based on the start of each course. For example, if you are teaching something in the first and second half of the semester, your contract for the second half of the semester will be released closer to the start of that term.
  • If you are teaching a cross-listed course:
    Cross-listed courses are typically issued after the add/drop period to ensure enrollment is accurate and to account for potential schedule changes with the cross-listing. Please note, this will not delay your compensation as the first paycheck of each term is processed after the add/drop period.
  • If your class was a late-add to the schedule:
    Contracts for schedule changes typically are issued within a few days or up to a week. This timeline is due to time needed to make schedule changes in Banner, notification to the Office of Human Resources, and the process/review phase of the contract.
Q: Where is my faculty overload contract?

Faculty overload contracts are processed once the Office of Human Resources receives notice from the School Office and/or Department. If you have not received your contract and are expecting one, please reach out to your department chair and/or dean.

Q: What if my enrollment changes between the time of my contract and add/drop?

Courses that are under enrolled are paid at a headcount rate should the course still run. For example, if your class typically holds 10 students and you only have 3 enrolled, you will receive a contract with a headcount rate for 3 students instead of your normal compensation. Should enrollment increase (or decrease) by the time the add/drop period ends, your total compensation will be adjusted to reflect the final enrollment, and you will be notified by someone in the Office of Human Resources.

Q: When will I get paid?

Please visit www.utica.edu/payroll for all payroll schedules. Adjunct and overload pay schedules are listed separately and will have a new schedule for each semester.

  • Pay dates are based on the part of term your course runs in. If you are unsure which term your course is listed for, please contact hr@utica.edu for assistance.
  • The first pay date may be a few weeks after the time your course begins. This is to account for the add/drop period along with aligning the pay dates with the semi-monthly pay calendar.
  • Please note! Contracts cannot be paid out unless you accept your teaching contracts. If you are teaching more than one course, you will need to accept each contract individually. Reminders from the Office of Human Resources will be sent to your Utica email address at the time of each payroll processing. If we cannot reach you via email, we will contact you by phone. Please be sure to not only check your Utica email account regularly, but to confirm your personal contact information is accurate.
Q: How will my total compensation be paid out?

When you receive your teaching contract, you will see a total compensation amount for the course(s) you are teaching. The total compensation amount is split across a number of pay periods as outlined in the payroll schedule. For example, if your total compensation is $2,500 and your course runs across 4 pay periods, you will receive $625 per pay.

Q: I am teaching the same class as last semester, but my checks seem to be less than what I am expecting. What happened?

As mentioned in the previous question, “How will my total compensation be paid out?”, total compensation is spilt across a number of pay periods. Depending on how the academic calendar aligns with the semi-monthly pay calendar, there are times where the number of pay periods can vary.

For example, in the Fall, you taught ENG 101 for $2,500. Your payment was split across 4 pay periods and you received $625 per pay. In the Spring, you taught the same course for the same compensation. In the Spring, however, the way the calendar lined up caused for your payments to be split across 5 pay periods instead of 4. Your amount per pay is $500 for 5 pay periods compared to $625 for 4 pay periods.

Q: I missed the deadline to accept my contract and missed a few payments, what will my paychecks look like going forward?

Do not worry! You will still receive your total compensation for your course, however, the total amount will be split over lesser pay periods depending on the time you accept the contract.
